Introduction


This privacy notice sets out the way we process your information and details our privacy and fair processing policy. We will always refer to this page when we ask you for your consent. We’ll keep this page updated to show you all the things we do with your personal information so that you can be confident when sharing your information with us that it will be only used for what we say here.

What information TGO collects and why?


We will only ever collect the information that we need to. This includes data to help fulfil your wishes and to help us gain a better understanding of our supporters, so we can make better decisions, spend donations wisely and help more deaf people. We collect the following kind of information:

  • Non-personal information such as IP addresses (the location of the computer on the internet), pages accessed, and files downloaded. This helps TGO to determine how many people use our sites, how many people visit on a regular basis, and how popular our pages are. This information doesn’t tell us anything about who you are or where you live. It simply allows TGOs to monitor and improve our service.
  • Personal information such as name, postal address, phone number, email address, date of birth (where appropriate), Gift Aid details, your preferred contact preferences, information about your interests and hobbies, other information relevant to customer surveys and/or offers, bank or credit card details, direct debit details if you are setting up a regular donation or payment with us.


If you are applying for a Service or to become a volunteer, we may ask further questions needed to help process your application.


We also collect information which you give to us indirectly, for example, if you are using websites such as Just Giving or Virgin Money Giving to fundraise for us. Such websites have their own Privacy Policies which you should check when you provide your data.

We may also use data which you provide to other organisations and you give your permission to share or is publicly available. This includes social media sites such as Facebook and Twitter, when you have given other organisations permission to share your data with third parties, including charities, or information from Companies House.

We collect this information in connection with specific activities, such as newsletter requests, registration for events, product purchases, feedback, donations, competition entries etc. The information is either needed to fulfil your request or to enable TGO to provide you with a more personalised service. You don’t have to disclose any of this information to browse the sites. However, if you do choose to withhold requested information, we may not be able to provide you with certain services.

TGO will use the information you provide to:

  • Fulfil your requests – such as applications for services, donations, competition entries, participation in campaigns and provision of information or opportunities to volunteer or work for TGO.
  • Process sales transactions, donations, or other payments and verify financial transactions
  • Identify visitors to our sites or locations where we undertake operations.
  • Handle orders, deliver products and communicate with you about orders
  • Provide a personalised service to you when you visit our websites – this could include customising the content and/or layout of our pages for individual users
  • Record any contact we have with you
  • Prevent or detect fraud or abuses of our websites and enable third parties to carry out technical, logistical and other functions on our behalf
  • Carry out research on the demographics, interests and behaviour of our users and supporters to help TGO gain a better understanding of them and to enable us to improve our service. This research may be carried out internally by TGO employees or we may ask another company to do this work for us
  • Communicate with our supporters and customers
  • If you have agreed to it, provide you with information that we think may be of interest to you.


If you enter your details onto one of our online forms, and you don’t ‘send’ or ‘submit’ the form, we may contact you to see if we can help with any problems you may be experiencing with the form or our websites.


We may also use your personal information to detect and reduce fraud and credit risk.


Building profiles of supporters and targeting communications


We use profiling and screening techniques to ensure communications are relevant and timely, and to provide an improved experience for our supporters. Profiling also allows us to target our resources effectively, which donors consistently tell us is a key priority for them. We do this because it allows us to understand the background of the people who support us and help us to make appropriate requests to supporters who may be able and willing to give more than they already do. Importantly, it enables us to raise more funds, sooner and more cost-effectively, than we otherwise would.
When building a profile, we may analyse geographic, demographic and other information relating to you in order to better understand your interests and preferences in order to contact you with the most relevant communications. In doing this, we may use additional information from third party sources when it is available. Such information is compiled using publicly available data about you, for example addresses, listed Directorships, share ownership or typical characteristics of a given area.

We may use profiled information from our supporter base to target new audiences and supporters who use or consume certain media, such as magazines newspapers and news sites and social media platforms.

Using your information for marketing


TGO will only send marketing information to people who have specifically said that they agree for us to do so and to those, TGO have a legitimate interest in communicating with you. Legitimate Interest is defined under GDPR for processing data. Marketing information covers information from TGO and associated entities, regarding the goods and services sold, fundraising appeals and volunteering opportunities.

Consent


To use your data most appropriately we ask that you give us your consent for the communications channels you wish us to use; mail, telephone, email or text. We will record the date you give consent and that will enable TGO to contact you for a specific period.

Having given consent by any channel, you may withdraw that consent at any time by contacting supporter care at

If TGO contacts you by email, every message we send will include a link to opt out of receiving future messages if you change your mind.

Cookies


To help us create a more effective website that reflects users’ needs, we may also use cookie files to collect and record information about how our site is used and collect your IP address (a number that identifies a specific computer or other internet device) for system administration and to report aggregated information. Cookie files and IP addresses will not identify you as an individual. By continuing to use our site, you agree to our use of cookies.


Sharing your information


We will only share your information if:


• We are legally required to do so, e.g. by a law enforcement agency legitimately exercising a power or if compelled by an order of the Court
• We believe it is necessary to protect or defend our rights, property or the personal safety of our people or visitors to our premises or websites
• We are working with a secure partner that is carrying out work on our behalf.

These secure partners may include mailing houses, marketing agencies, IT specialists and research firms. The kind of work we may ask them to do includes; processing, packaging, mailing and delivering purchases, answering questions about products or services, sending postal mail, emails and text messages, carrying out research or analysis and processing card payments.


TGO only choose partners we trust. We will only pass personal data to them if they have signed a contract that requires them to:


• Abide by the requirements of the Data Protection Act and GDPR
• Treat your information as carefully as we would our own.
• Only use the information for the purposes it was supplied (and not for their own purposes or the purposes of any other organisation)
• Allow TGO to carry out checks to ensure they are doing all these things.

Storing your Information and Data Security


Information is stored by TGO on computers located in the UK or securely on the Microsoft cloud. We may transfer the information to other offices and to other reputable third-party organisations as explained above – they may be situated inside or outside the European Economic Area. We may also store information in paper files.


We place a great importance on the security of all personally identifiable information associated with our supporters, customers and users. We have security measures in place to attempt to protect against the loss, misuse and alteration of personal data under our control. For example, only authorised personnel are authorised to access user information and we use Secure Server Software (SSL) to encrypt financial and personal information you input before it is sent to us. While TGO cannot ensure or guarantee that loss, misuse or alteration of data will not occur while it is under our control, we use our best efforts to try to prevent this.


Unfortunately, the transmission of data across the internet is not completely secure and whilst we do our best to try to protect the security of your information we cannot ensure or guarantee that loss, misuse or alteration of data will not occur whilst data is being transferred.


TGO will keep your information only for as long as we need it to provide you with the goods, services or information you have requested, to administer your relationship with us, to comply with the law, or to ensure we do not communicate with people that have asked us not to.


When TGO no longer needs information, we will always dispose of it securely, using specialist companies if necessary to do this work for us.

Security and payment card information


We recognise the concerns that many people have about giving personal information online. These are the measures that we take to secure your information whilst using our web based services. All “gorillas.org” web pages that require you to enter personal information are in secure format.
Our web servers use strong encryption and only store information for a temporary period. Once you have fully submitted your information, any temporary information is purged from our systems.


The Gorilla Organization does not store any sensitive payment card data in our systems. We ensure that our IT systems do not directly collect or store your payment card information; for example the full 16 digit numbers on the front of the card or the security code on the back. Our online payment solutions are carried out using a “payment gateway” which is a direct connection to a payment service provided by a bank. This means that when you input card data into the payment page, you are communicating directly with the bank and the bank passes your payment to us, this means that your payment card information is handled by the bank and not processed or held by us.


Your rights


The Data Protection Act gives you certain rights over your data and how TGO use it. These include:


• the right in certain circumstances to have inaccurate personal data rectified, blocked, erased or destroyed
• the right to prevent your data being used for direct marketing
• the right of access to a copy of the information We hold about you (known as a subject access request)

You have a right to ask us to stop processing your personal data, if it is not necessary for the purpose you provided it to us for (e.g. processing your donation or registering you for an event) we will stop. If you believe that any information we are holding on you is incorrect or incomplete, or you wish to change your contact preferences at any point you can do so by calling us. Please contact TGO by emailing us at supportercare@gorillas.org if you have any concerns.


You have a right to ask for a copy of the information we hold about you, although we may charge £10 to cover the costs involved. If there are any discrepancies in the information we provide, please let us know and we will correct them.

We may not accept these requests by email to ensure that we only provide personal data to the right person.
